What is a quotation?
A quotation (or price quote) is a document you send to a potential client before work begins, stating the price you're proposing for specific products or services. It gives the client a clear figure to approve, decline, or negotiate — and it's not a bill, since no work has started yet.
Quotation vs. invoice: what's the difference?
A quotation is sent before work starts, to agree on price. An invoice is sent after (or during) the work, to request payment. Once a client accepts your quotation and the job is done, switch to the invoice generator to bill them.
How to create a quotation
- Add your business details and logo.
- Add the client's name and contact details.
- List the proposed products or services with quantity and price.
- Set how long the quote is valid — clients need a deadline to decide by.
- Add terms (e.g. deposit required, payment schedule) and download or print.
What should a quotation include?
- A quotation number and issue date, separate from any future invoice number
- A clear expiry date — prices can change, so state how long the quote stands
- An itemized breakdown so the client understands what they're paying for
- Terms such as deposit requirements, payment schedule, or what's excluded
Frequently asked questions
Is the quotation generator free?
Yes — creating, previewing, printing and downloading quotations is free, with no signup required.
Can I turn a quotation into an invoice later?
Once a client accepts your quote, head to the invoice generator and re-enter the agreed items to bill for the work.
How long should a quotation be valid?
That depends on your industry and how quickly your costs change — 14 or 30 days is common. You can set this in the "Valid For" field.
